The Admin Settings area is the control center for your Kolva workspace. This article covers company configuration, team management, the strategy playbook, security settings, and notification preferences.
Company Settings
Navigate to Settings > Company to manage your organization's core configuration:
- Company name and logo — Your name appears across reports, quotes, and the mobile app. Upload a high-quality logo and Kolva extracts your brand colors to theme the interface.
- Industry — Selecting your industry helps the AI tailor its recommendations, briefings, and benchmarks to your sector.
- Timezone — Controls when scheduled tasks run: daily briefings (7:30 AM), cron jobs, weekly reports, and nudge engine cycles.
- Default language — Sets the default language for new team members. Each user can override this in their personal preferences.
- Currency — Your reporting currency for financial data and quotes.
Pro tip
Upload your logo on a transparent background. Kolva uses it in PDF quotes, weekly reports, digital business cards, and the mobile app icon.
Team Management
Go to Settings > Team to manage your workforce:
- Invite members — Click Add Member, enter their email, and assign a role. They receive an invitation email with a secure link.
- Assign roles — Choose from Admin, Manager, Commercial (field rep), or Finance. Each role determines which features and data the user can access.
- Change roles — Click a team member's card to edit their role. Changes take effect immediately. At least one Admin must remain on the account.
- Remove members — Deactivate users to free seats. Their data (visits, deals, notes) is preserved and can be reassigned.
- Transfer clients — Use the bulk transfer tool to reassign a departing rep's clients and deals to another team member.
Note
Your subscription is billed per active seat. Adding a member adds a seat; deactivating one frees it. Manage billing from Settings > Billing.
Strategy Playbook
The Strategy section (Settings > Strategy) is where leadership configures the AI's strategic context. It has three layers:
- Company DNA (Admin only) — Your company's mission, values, competitive positioning, ideal customer profile, and key differentiators. The AI uses this to align all its outputs with your strategy.
- Strategy Directives (Admin + Manager) — Quarterly or monthly priorities: target segments, focus products, pricing guidance, competitive responses. These directives steer the AI's briefings and coaching.
- Rep Coaching Profiles (Confidential) — Per-rep profiles with strengths, weaknesses, and development goals. Visible only to admins and managers — reps never see each other's profiles.
Important
The strategy context is injected into 9 AI touchpoints (briefings, debrief, chat, follow-ups, coaching, etc.). Keep it current — outdated directives lead to misaligned AI recommendations.
Security Settings
Kolva provides several security controls under Settings > Security:
- Password policy — Enforce minimum length and complexity requirements for all team members.
- Session management — Configure session timeout duration. Mobile PWA sessions use a 400-day cookie for convenience.
- API keys — Manage API keys for ERP agents and third-party integrations. Keys are stored as SHA-256 hashes — the plaintext is shown only once at creation.
- Admin requests — When a new user signs up claiming admin status, existing admins receive an approval request via email. Auto-approval occurs after 15 minutes if no admin exists or all are inactive for 30+ days.
Notification Preferences
Configure which notifications your team receives under Settings > Notifications:
- Push notifications — Enable or disable categories: AI briefings, nudges, deal updates, team activity, anomaly alerts.
- Email digests — Choose between real-time emails, daily digest, or weekly summary.
- Quiet hours — Set hours during which non-critical notifications are held and delivered later.
Pro tip
For field reps, enable the morning briefing push notification. It arrives at 7:30 AM local time with an AI-generated summary of the day ahead — clients to visit, deals to follow up on, and coaching nudges.
