Kolva's quotes feature lets you build professional proposals with line items, generate branded PDFs, share them via a public link, and convert accepted quotes into orders — all from your phone or desktop.
Creating a Quote
Navigate to Quotes from the sidebar, or create a quote directly from a client's profile page:
- Tap New Quote and select the client.
- Add a title and optional reference number for internal tracking.
- Add line items by searching the product catalog. For each item, set the quantity, unit price, and any applicable discount.
- The quote total updates in real time, showing subtotal, discount amount, TVA (20%), and final total.
- Add optional notes or terms and conditions at the bottom of the quote.
- Tap Save to store the quote as a draft.
Pro tip
Add a validity period to your quotes (e.g., "Valid for 30 days"). This creates urgency and gives you a natural follow-up trigger when the quote is about to expire.
PDF Generation
Generate a professional, branded PDF of any quote with a single tap:
- Open the quote and tap Generate PDF.
- The PDF includes your company logo, client details, all line items with pricing, totals, and any notes you added.
- Download the PDF to your device or send it directly via email or messaging app.
The PDF is generated using your company branding — logo, colors, and contact details from your company profile in Settings.
Note
PDF generation works offline. The PDF is created locally on your device using jsPDF, so you can generate and share quotes even when you do not have an internet connection.
Public Sharing Link
Share a quote with your client via a unique public link — no login required:
- Open the quote and tap Share.
- Kolva generates a secure, unique URL (e.g.,
kolva.ai/quote/abc123). - Send the link to your client via email, WhatsApp, SMS, or any other channel.
- The client opens the link in their browser and sees the quote in a clean, branded format.
Shared quotes are tracked — you can see when the client opened the link and how many times they viewed it, giving you insight into their level of interest.
Client Approval Flow
When a client reviews a shared quote, they can approve or request changes directly from the shared page:
- Approve — The client taps Approve to accept the quote. You receive a notification immediately.
- Request changes — The client can leave a comment requesting modifications. You are notified and can revise the quote.
The quote status updates automatically: Draft, Sent, Viewed, Approved, or Rejected. Each status change is timestamped and logged in the quote's history.
Pro tip
If a client has viewed the quote but not responded within 48 hours, follow up. The view tracking data gives you a natural conversation opener: "I noticed you reviewed the quote — do you have any questions?"
Converting a Quote to an Order
Once a quote is approved, convert it to an order with one tap:
- Open the approved quote.
- Tap Convert to Order.
- Kolva creates a new order pre-filled with all the line items, quantities, and pricing from the quote.
- Review the order and make any final adjustments before submitting.
Note
Converting a quote to an order links the two records. You can always trace an order back to its originating quote for audit and reporting purposes.
